1. Reservation Procedures & Booking
• How to Book: To reserve your space on a tour, please contact us by phone (USA: +1 512 698 6515 / Mexico: +52 614 184 7425), email (info@trayectur.com), or via our website (trayectur.com).
• Secure your spot with a deposit: Once your quote is issued, we will hold your pricing and itinerary for exactly 72 hours. To permanently secure your reservation, you must pay a 30% deposit within this 3-day window, or your temporary hold will automatically cancel. While cash refunds are restricted to cover non-recoverable partner costs, this deposit is protected under our future credit policy if you need to cancel later.
• Accepted Payments: We accept Visa, Mastercard, American Express, electronic bank transfers, or cash at
authorized Trayectur offices.
• Booking on Behalf of Others: The person making the booking is considered the Designated Contact. By booking for others, you guarantee you have their legal consent, assume full responsibility for all payments, and agree to keep your entire party informed. Trayectur is not liable for any errors or missing details in traveler information.
2. Final Payments & Peak Season Rules
• Final Balance: The remaining 70% outstanding balance is due no later than 45 calendar days before your trip starts. You will receive an email reminder 7 days before this deadline.
• Failure to Pay: Late or missed final balance payments will trigger an automatic reservation cancellation. In these instances, the 30% initial deposit is preserved and automatically issued to the traveler as a Future Travel Credit valid for 12 months, in accordance with the credit guarantee outlined in Section 3.
• Peak Season Pricing: Trips during Easter, holidays, summer (July–August), and year-end (December–January) may feature price supplements based on vendor availability. Confirmed contract prices are fixed, but unpublished referential rates may change without notice.
3. Cancellations, Refunds, & Force Majeure
Refund percentages are calculated based on the total cost of your contracted services, determined by how many days before departure Trayectur receives your written cancellation notice:
• 45 Days or More Before Departure: Full refund of all amounts paid, less your 30% deposit. Your 30% deposit isautomatically preserved as a Future Travel Credit.
• 44 Days to 21 Days Before Departure: 50% cancellation penalty of the total tour cost (50% of the total tour value is retained by Trayectur; any remaining balance paid above this amount will be refunded). Your initial 30% deposit remains valid as a Future Travel Credit.
• 20 Days or Less Before Departure: 100% cancellation penalty of the total tour cost (no cash refund). However, your initial 30% deposit is still protected and issued to you as a Future Travel Credit for use on a later trip.
• Future Travel Credit Guarantee: While cash refunds are restricted based on the timelines above to cover nonrecoverable partner costs, your 30% deposit is not lost. If you cancel your trip at any time prior to departure for any personal reason (including medical, work, or scheduling changes), your 30% deposit will automatically convert
into a Future Travel Credit valid for 12 months from your original departure date.
• Unused Services: No refunds or credits will be issued for any unused portion of the tour once departure has occurred.
• Force Majeure: Local transit operators—including the CHEPE train (Ferromex), Baja Ferries, and land transport— are subject to delays or cancellations from weather, civil authorities, or acts of God. Trayectur does not offer refunds or cover out-of-pocket expenses (extra food, lodging, transit) caused by these disruptions.
4. Mandatory Travel Insurance
• Medical Coverage (Required): All travelers must buy emergency medical travel insurance. Proof of a valid policy must be sent to Trayectur before or alongside your final trip payment. Failure to provide proof will result in booking cancellation without a refund. Your policy must cover emergency medical expenses, accidents, emergency medical evacuation, and repatriation.
• Trip Cancellation (Strongly Recommended): Trayectur strongly urges you to buy separate Trip Cancellation, Interruption, and Baggage Loss insurance to protect your entire investment against unexpected cancellation penalties and external charges like airfare.
5. Agency Liability & Intermediary Status
• Intermediary Status: Trayectur acts solely as an independent intermediary coordinator of services provided by independent third-party suppliers (hotels, carriers, drivers, guides, activity companies). Trayectur does not own, manage, or operate these entities; our responsibility is strictly limited to the correct management and execution of your tour reservations.
• Third-Party Acts and Omissions: Trayectur is not liable for any negligent or willful act, failure to act, or breach of contract by any third-party supplier not under our direct control.
• Comprehensive Liability Exclusions: Trayectur is not responsible for any direct, indirect, consequential, or incidental losses, injuries, death, property damage, theft, delays, overbookings, scheduling changes, emotional distress, or inconveniences resulting from causes beyond our control. This includes actions of third parties, medical emergencies, lack/quality of local medical care, animal/pest encounters, criminal activity, or hazardous conditions on walkways, streets, paths, and piers.
• Assumption of Risk: By paying your deposit and participating in the trip, you voluntarily assume all associated risks of travel, transit, and outdoor activities. Any financial recovery for loss, accident, or injury must be pursued directly through your chosen travel insurance provider.
• Route and Itinerary Modifications: Trayectur reserves the right to modify travel routes or schedules for operational, safety, or weather reasons. In such cases, we will provide alternative arrangements of equal or greater value at no additional cost to you.
• Dispute Resolution & Complaints: Any issues must be reported immediately during the trip to your local guide to allow an opportunity to resolve them. If unresolved, the complaint must be ratified in writing to Trayectur within five (5) working days of your return.
6. Traveler Responsibilities & Tour Rules
• Documentation: You are solely responsible for obtaining valid passports, visas, and health certificates.
• Health & Fitness: You must be physically fit for your chosen itinerary. Pre-existing conditions must be disclosed prior to booking. Women more than 7 months pregnant are barred from marine vessels (Baja Ferries).
• Behavior: Disruptive, illegal, or dangerous behavior gives Trayectur the right to terminate your tour mid-trip with no refund and no coverage for your return transport.
• Baggage Limits: Limit of one standard piece of luggage up to 50 lbs. (23 kg) and one small personal hand/flight bag per person due to vehicle space limits.
• Exclusions: Prices exclude airfare to/from the tour, country entry/departure fees, visas, personal items, phone calls, valet, and beverages or food outside regular menus.
7. On-Tour Service
• Meals: Included daily meals are marked on your itinerary. Special dietary requests are not guaranteed. Drinks (bottled water, sodas, alcohol) are not included with complimentary meals.
• Rooms: Double/triple rooms usually have two beds. Single rooms are limited. All rooms are strictly non-smoking and have private baths. Roommate cancellations that change room types will increase the tour price for remaining guests.
• Transportation: Handled via modern, air-conditioned train cars, motorcoaches, or ferries. No smoking is allowed, and seats rotate daily.
8. Regional Destination Conditions (Sierra Tarahumara / Copper Canyon)
• Connectivity Disclaimer: Most hotels in the Sierra Tarahumara lack televisions, phone signals, or Wi-Fi. There is zero cell coverage on the moving CHEPE train or deep in the canyons.
• Cash Requirement: ATMs are only available in Creel, Chihuahua, and El Fuerte. Travelers must carry sufficient Mexican Pesos (MXN) for tips, local dining, and crafts.
9. Service Guarantees & Administration
• Alternative Services: If a third-party vendor fails to deliver a service for reasons unrelated to force majeure, Trayectur will secure an equivalent alternative at no extra charge.
• Status Requests: Clients can check booking statuses anytime; Trayectur guarantees a 24-business-hour response window.
• Policy Administration: Agents must give this policy to clients at the time of quotation. This text is reviewed annually, and updates are posted 30 days before taking effect.
